We use them in many companies. They are our company laws, helpers for training new people, manuals to facilitate regular and irregular work or a tool for not having irreplaceable people.
The hell of course is keeping them all up to date.
The 1CLICK system has a solution to make it easier for you. It will help you keep these documents in order and most importantly, it will allow you to distribute them literally in one click!
To make it work, we linked the methodological documents, as we call them, to the organisational structure. They are assigned to individual posts, organisational units or several posts at once.
The basic idea is that you have an organizational structure that allows you to assign documents to units or to the entire company.
How do you do that?
Established organisational structure
Click the menu button on the top right…
…and then to the Methodology Documents.
This will open the interface for editing internal documents. Of course, it will be empty.
Click the Add Document button
The Add New Document window opens. Add a document via drag and drop or via a button and select what type of document it is.
The document is uploaded to the system.
Assigning a document to a structure
Click on a document to select it. On the right you see your structure vertically, click where you want to assign the document. Then click the plus button and you’re done. If you need to assign this document to different posts, repeat the process. If you assign it to a unit, all posts in that unit inherit it. Use the minus button to remove it.
Notification of a new document
In Settings, click System and then click Module Org. structure. Here you can choose whether you want to be notified of changes by email, task or both, and what time the information should be sent. Each time a change is made, a new document is uploaded or an existing document is updated, the affected post will receive a selected notification. The system runs a document management system, so everything is versioned. You can revert to older versions, change names, types and other actions.
May you have a good time on CLICK.
P.S. If you would like help with the approval process, e.g. internal company regulations, please do not hesitate to contact us.
