The first question, Mr Novotný, would be what does your company actually do?
Artisan is a trading company. We trade in wood material and paints. We have our own stores, several e-shops, we also have wholesale and distribution or redistribution. So, I would say 60 people work in Artisan today.
That’s nice. How long have you been doing this?
We’ve been doing this for 11 years.
And how long have you been a 1CLICK customer?
We’ve been a customer of 1CLICK for I’d say about six or seven years, to be honest I don’t remember much. So there were about twenty-five of us before, and we had a system, we send everything by email, and that’s the best case scenario. Worse, we call each other when I want something. Well, that brings me to the point that it was unbearable. A colleague of ours who worked as a tax consultant brought us to 1CLICK.
Oh, a tax consultant. Well, that’s good, I guess that doesn’t happen often.
He was, of course, a tax consultant for several companies as a freelancer. And he just saw 1CLICK in there somewhere. And they communicated with him through 1CLICK and he liked it, so he showed it to us.
So what was the main reason you decided to go with 1CLICK?
In the beginning, the main reason was that we had a detailed organizational structure. The most used are the tasks. Today, we also use projects because our company has a growth plan that we have worked out, what we want to improve this year in marketing, in sales, in stores, just on different segments. And here we have the plans transcribed into projects in 1CLICK. Where there are different tasks under each project. There it breaks down even further into subtasks. Well, that’s what we use the most, I think. Then we use the Email module a lot, that’s clear. We also use a lot of Processes, that’s definitely a big facilitator.
We also use the HR module. So each member of the team has their documents hidden under their name. Medical exams, driver some sort of permit that can drive a truck everyone has something. So we’ve got it all in one place. We used to have it on Google Drive, which also worked, but it doesn’t make sense to have it in another place.
So actually, you’ve summed up the problem and the solution. To summarize, the problem was ineffective communication because information was lost, like emails, phone calls.
Of course, 1CLICK is great in the fact that there are often three or four people involved in one task.
Now, if you’d dealt with this by e-mail. I’ll send something to someone and Marushka will send it to Jana. Jana sends it to May, so you won’t get it back because you’ll lose track of what you sent to whom. I of course had a word file this long where all tasks like this had to be filed somehow, right. Someone might be carrying a notebook. He writes it down in a notebook, but there’s just a terrible advantage here, and this is what the tax advisor showed me just the other day, that you write it down in the assignment and you actually let it go out of your mind. You know it’s not gonna get lost. So, if I take the time three times a week for ten minutes, I go through all the tasks that I assign, I go through them, I see the ones that are orange that should have been addressed by now, also if there’s any new communication or not.
I just write something of my own and I know I can’t forget anything. I also record things in there, for example, that now I bought two tickets to a real estate investor seminar and I save them in 1CLICK. I know that when the date comes, I’ll have a task written on myself. And that’s where I got the tickets.
I do the same thing.
I’m just using it. Well, just about anything.
OK, so if you think about it, what results has 1CLICK brought you? Was it increased productivity, efficiency, cost savings and did it increase customer satisfaction? Do you see any of these areas?
Yeah, I’m sure. Our whole communication works on it, and without it, it just wouldn’t work. If there was no 1CLICK, there would just have to be something like 1CLICK. I can’t imagine.
Now, we’ve had you program new processes. We, as we have several e-shops, we receive orders and inquiries from them. And we work with them within 1CLICK. We record all business cases there.
So do I understand correctly that you’re actually extracting emails from these e-stores where an inquiry comes in and starts the process and then it goes to some merchant and they process it?
We think of the e-shops as more of a platform that it’s not just about people ordering through a shopping cart, but we also have different conversion pages that we target with advertising. If you want to assemble a pergola, we will be happy to arrange it. Just give us your name and where you live. From that, a lead is generated that goes through the process to a salesperson who works with it.
Yeah, right. So he contacts the customer.
That’s right, it writes everything into 1CLICK so we have information like: the customer’s email with attachments, where there are photos of the current state on the site. The description of what the client needs, drawings and everything else is in one place. And then when it’s assembled, it’s archived. Which is also good, by the way, because then if there are any guesses about who said or didn’t say what. How much, what should have cost or should not have cost. So you open the old task, there’s all the communication and it’s immediately clear.
Okay, okay, okay, okay. So I feel like we’ve been through everything. Could you summarize how 1CLICK has helped your company?
I think it has definitely brought a huge efficiency in communication.
All data concerning all communication, be it new enquiries or any, for example, exchange of goods between stores, is simply done via 1CLICK. So it’s in one place. Of course, it gives executives the ability to control projects, project management, new things.
Nothing is forgotten, that’s important. The lady who takes care of the staff has everything in one place, all the checkups, she sets up a calendar, when someone’s medical is up, she does her homework. All technical inspections of the fleet. Just everything. Before, you used to run through twenty warehouses and pull out your car’s registration and see if it was out of service. So here it’s automated once a year and you don’t solve anything.
So you’re using 1CLICK to its full potential. From what you said in the beginning, it seemed like you were only using tasks, but it seems to me that you’re using a lot more in the end.
Yeah, yeah, we do, but we’re definitely going to use processes more and more.
OK, that’s certainly good, processes are the most we can give you, because they reduce common human error. Let’s go to the finals. If you think of a potential customer of ours who doesn’t have 1CLICK, would you recommend anything to them?
I recommend it everywhere I go. Of course. They are special applications for project management, CRM, fleet management. You can have 10 apps, each for one thing. That’s what I wanted to limit. Why have 10 apps when I can have one? And which basically fits, and more importantly can be bent to any of our wishes. So I understand that a preset process doesn’t suit everyone. For example, our process for business cases, we had you modify that.
The sense of how 1CLICK works is perfect. That logic.
So thank you for the interview, be lucky and see you again sometime.
Okay, bye.
